Holiday Lettings – Owner-Operated Properties
Effective from 1st January 2026
These Booking Terms and Conditions (“Terms”) set out the agreement between you, the guest (“you” or “Guest”), and Bracken & Stone Ltd (“we”, “us”, or “our”), the property owner and operator of the holiday accommodation.
By booking a stay at one of our properties, you agree to comply with and be bound by these Terms.
2.1 A booking is confirmed upon receipt of a deposit (usually 25%) and written confirmation from us.
2.2 The remaining balance is due no later than 2 weeks prior to your arrival date.
2.3 For bookings made less than 2 weeks before arrival, full payment is required at the time of booking.
2.4 If payment is made by credit card, it is subject to a 1.2% fee.
2.5 Bookings made through our online booking system are provisional until confirmed by us.
3.1 A £500 pre-authorisation will be taken on the card provided 1 day prior to arrival.
3.2 The pre-authorisation will be released 2 days after departure, subject to inspection of the property.

3.4 Guests are responsible for the property and its contents during their stay.
3.5 Any damage, breakages, or maintenance issues must be reported immediately, or at the latest before departure.
3.6 Where damage or additional costs are identified, we reserve the right to retain part or all of the £500 pre-authorisation to cover repair, replacement, cleaning, or reinstatement costs.
3.7 If costs exceed £500, guests agree to pay the outstanding balance within 7 days of receiving written notification and supporting documentation.
4.1 If you cancel more than 2 weeks before arrival, we will refund your deposit minus a £50 administration fee.
4.2 If you cancel less than 2 weeks before arrival, no refund can be provided unless we are able to re-let the property.
4.3 We strongly advise taking out travel insurance to cover unexpected cancellations.
5.1 The lead guest must be over 21 years of age.
5.2 The property must be left in a clean and tidy condition.
5.3 Guest numbers must not exceed those confirmed at the time of booking unless agreed in writing.
5.4 The property may not be sub-let under any circumstances.
5.5 No smoking inside the property.
5.6 No parties, events, or gatherings are permitted without prior written approval.
5.7 Guests must not engage in illegal activity, cause damage, or behave in a way that is likely to disturb neighbours or other guests.
5.8 The owner reserves the right to refuse entry or terminate a stay without refund if these Terms are breached.
6.1 CCTV cameras operate externally at the front of the property and covering the parking area by the field. These cameras record video only and do not record audio.
6.2 Noise monitoring devices may be installed inside the house and in the garden area. These devices monitor decibel levels only and do not record conversations or audio.
6.3 These systems are in place for safety, security, and to ensure compliance with local noise and occupancy requirements. By confirming a booking, guests consent to their use.
6.4 Excessive noise, disruptive behaviour, or disturbances may result in the guest being contacted and may lead to termination of the stay without refund.
7.1 Check-in is from 3:00pm on the day of arrival.
7.2 Check-out is by 10:00am on the day of departure.
7.3 Late departure without prior agreement may incur additional charges.
8.1 We or our representatives reserve the right to access the property at reasonable times for maintenance or inspection, with prior notice where possible.
9.1 Guests must dispose of general and recycling waste using the bins provided. Excess waste that does not fit in the bins must be removed or may incur additional charges.
9.2 If excessive cleaning is required after departure, a supplementary cleaning fee may be charged.
9.3 Where a hot tub is provided, guests must follow the hot tub guidance provided in the welcome information.
9.4 Hot tub use is permitted between 8:00am and 10:00pm only.
9.5 No glass is permitted in or around the hot tub. Guests must not tamper with controls, drain the tub, interfere with chemicals, or introduce substances that may contaminate the water. Any additional cleaning, refill, or repair costs arising from misuse will be charged in accordance with Section 3.
10.1 Pets are permitted and must be kept under control at all times.
10.2 Guests are responsible for cleaning up after their pets and ensuring no damage is caused.
11.1 Wi-Fi is provided free of charge, but we cannot guarantee speed or uninterrupted service.
11.2 Electricity, gas, and water are included in the rental price unless otherwise stated.
12.1 We are not liable for refunds or compensation due to events beyond our control, including extreme weather, natural disasters, utility failure, or government restrictions.
13.1 Guests occupy the property at their own risk.
13.2 We are not liable for accidents, injuries, or losses sustained during your stay, except where caused by our negligence.
13.3 Guests are responsible for their own possessions during their stay.
14.1 All prices are quoted inclusive of VAT where applicable.
14.2 If Bracken & Stone Ltd becomes registered for VAT, we reserve the right to adjust our prices accordingly to reflect VAT obligations. Guests will be notified of any such change at the time of booking or as soon as reasonably practicable.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
